The basics
What is Grammateas?
An AI phone receptionist for Greek businesses. She answers your calls 24 hours a day, speaks Greek and English, books appointments, takes messages, answers questions from what she knows about your business and transfers the call to a person when needed. She is a subscription service from Retail Management Solutions — you are not buying a device and you are not installing software.
Does she really understand Greek?
Yes. She understands everyday Greek, with accents, half-finished sentences and line noise, and answers in a natural Greek voice. If someone speaks English, she switches to English. The best way to judge is to have her call you.
Does the caller realise they are talking to software?
Yes, she says so herself in one sentence at the start, as the law requires. In practice most people carry on as normal, because they get what they called for — and they get it at once, without waiting. Details: AI transparency.
What happens if she does not know the answer?
She says so. She does not invent prices, times or promises — she is set up to admit she does not know rather than to fill the gap with a guess. She asks a question to understand, takes a message, or transfers the call to you. You decide which of the three, and in which situations.
Can the caller ask for a person?
At any moment, in plain words. The call is transferred to you or to a colleague, with a short briefing on what was asked, or a message is taken so you can call back. The assistant also transfers on her own when the subject goes beyond what she knows or when she notices the caller is annoyed.
Setting up and telephony
Do I have to change my number or my phone system?
No. Either you forward the calls from the number you already have, or we connect your phone system as a line to Grammateas. Transfers come back to your own extensions exactly as before. Nothing is installed in your office.
How quickly does it start?
One meeting to set her up, test calls the same day, live the next working day. Changes after that — new opening hours, a new service, a new price — take a few minutes in the admin console.
How many calls can she take at the same time?
Grammateas herself has no limit: she is never "on the other line", she answers everyone at once. The limit comes from the line — every telephone connection has a fixed number of channels, and that is how many simultaneous calls fit.
If you connect your own phone system, the channels you already pay for apply — the same ones you have today. If we provide the line, we agree together how many channels you need and they are added within a day; they are not expensive.
How many you actually need: a practice or a shop rarely has more than two or three calls at once, even at the busiest hour. If you take dozens at a time, we discuss it from the start and the line is set up accordingly. When the channels are full, the next caller hears a normal engaged tone — the platform holds the limit rather than letting the call disappear into nothing.
Does she work only out of hours, or during them too?
However you want. The three usual arrangements: she answers only out of hours and at weekends; she answers when nobody picks up after X rings; or she always answers first and transfers whatever needs a person.
What happens if the service goes down?
Calls fall back to your phone system's existing flow, which means they ring exactly as they rang before. The availability target is 99.5% a month, excluding planned maintenance and faults in third-party networks.
What she does in practice
Does she book appointments in my calendar?
Yes. She connects to Google Calendar or Microsoft 365, sees the availability, offers times, books the appointment and sends a confirmation by SMS or e-mail. She moves and cancels appointments when the customer asks, following the rules you have set (how much notice, what duration, which doctor or technician).
How does she learn my business?
You give her the opening hours, the address, the services, the prices, what you do and what you do not — in writing, from the admin console, or by sending us whatever you already have (a price list, an FAQ, your website). She answers only from that. You can also turn a real call into a knowledge article, if it was answered well.
Does she take messages? How do I get them?
She keeps the name, the number and the subject, and sends them to you straight away by e-mail, SMS or Slack. Every call also has a transcript, a summary and what was agreed, and you can read all of it from your phone.
Does she make outbound calls?
Yes, from the Business plan upwards: appointment confirmations, reminders, call-backs for missed calls. For marketing calls the platform checks consent, the opt-out register under Article 11 and the permitted calling hours — but the lawfulness of the campaign remains your own responsibility.
Does she connect to my CRM?
From the Business plan upwards she connects to calendars, contacts, the mailbox and to your own systems through controlled tools. Every such action goes through a permission check and is logged — the model never "runs" anything by itself.
Who she suits
Does she suit a medical or dental practice?
Yes, it is the most common use: appointments, changes, reminders, directions. Because health data may be spoken aloud, we recommend a short retention period and careful settings for recording; the data processing agreement covers this explicitly.
Does she suit a garage, an engineering firm or a shop?
Yes. The calls there are mostly "are you open?", "how much is it?", "when will it be ready?" and "I would like an appointment" — exactly the things she answers without needing a person, while you get on with the work.
I already have a receptionist. What do I gain?
She picks up the calls that would otherwise be lost: the ones that come in while your receptionist is on the other phone, the hours she is away, the evenings and the weekends. Your receptionist is freed from the repetitive calls and keeps the ones that want a person.
Pricing and contract
What does it cost?
Three plans, excluding VAT: Basic €49 a month (up to 200 minutes of talk time, appointments, messages, transcripts), Business €149 a month (up to 800 minutes of talk time, transfers, calendar and CRM integration, outbound calls), Enterprise on application. See the plans in detail.
Is there telephony cost on top?
The lines and the calls are billed by your own provider, as they are today. The subscription is for the service. If you would like us to provide a number or a line, we price it in the quote.
Am I tied into a contract?
No. The subscription is monthly and you stop it whenever you like, with no penalty. After it ends you have 30 days to export your data, and then it is deleted.
Data and the law
Is it legal for an AI to answer the phone?
Yes, on two conditions that are met by default: the assistant states at the start that she is an artificial-intelligence system (Article 50 of the EU AI Act) and announces recording wherever it is switched on. You remain the controller for your callers' data and sign a data processing agreement with us under Article 28 GDPR.
Where do the recordings and my customers' details go?
To servers inside the European Union, with your own access and your right to erase. Recording is your choice, and so is how long it is kept (12 months by default). The data is not sold, is not used for advertising and is not given away to train models. See: Security · Privacy.
What if one of my customers asks for their data to be erased?
It takes one action in the admin console: the identifying details, the words of every conversation, the notes and the recordings are deleted, while the statistics remain, anonymised. Instructions for the caller themselves: Exercising your rights.
